Return materials authorization: check what the RMA permits

Follow a ten-sensor RMA through an eight-unit shipment and corrected supplier receipt. Decide what still needs approval before the proposed repair.

Your supplier has received eight sensors and offers to repair them. The return authorization lists ten serial numbers and permits inspection only. Before accepting the repair, check who may authorize the work, what happens to the two sensors still at your plant, and what evidence supports the supplier's receipt.

A return materials authorization, usually called an RMA, records permission to return goods under specified conditions. You may also see “return material authorization” or “return merchandise authorization.” For a manufacturing buyer returning parts to a supplier, the reference connects the permitted return with the units, instructions and subsequent decisions. Its scope matters as much as its number.

Read the permission before arranging the return

Check the supplier's actual instructions and your company's approval process. A request acknowledgment may precede the return authorization. Phoenix Contact's procedure, for example, separates those confirmations and later confirms the received return.

Return permission, inspection, repair, replacement and credit can have different approval conditions. Microsoft's Dynamics 365 documentation describes physical returns, credit-only arrangements and replacements sent before the original goods come back. There is no single receipt-before-remedy sequence to impose on every supplier.

For an industrial return, resolve these questions before goods leave:

CheckInformation to establish
Authorized unitsPart, revision where relevant, quantity and the actual serial or lot identities; which requested units are covered
Purpose and authorityInspection, repair, replacement or another agreed route; what is already approved and what needs a later decision
Dispatch instructionsDestination, required references and documents, packaging and handling instructions, validity and any agreed split shipments
Commercial conditionsCharges, transport responsibility and the approval needed for any proposed work or remedy

If instructions conflict, obtain a written clarification before acting. A number covering one set of units does not authorize substituting different ones. Basler Italy's RMA instructions explicitly warn against including material outside the authorization. Their particular conditions apply to their service; use your supplier's current terms for your return.

Worked example: ten sensors authorized, eight dispatched

This is a fictional private manufacturer, not a customer result. It physically received 100 sensors on one purchase order. After a reported fault, quality released 90 and withheld release for ten sensors identified by their serial numbers, pending inspection. The cause of the reported problem has not been established.

The buyer's authorized team approves returning all ten for inspection. The supplier issues RMA R42 for those ten serials, inspection only, and accepts a split of eight followed by two. The warehouse prepares eight for the first collection. Two remain in an identified hold location for the next collection, whose date is still to be agreed.

All quantities are individual sensors. Apart from this outbound return, assume no other receipts, issues, substitutions, credits, movements or quality-status changes during the example.

Record at the first supplier acknowledgmentQuantityWhat it establishes
Original verified receipt100Historical inbound quantity; the later return does not rewrite it
R42 authorized scope10Permission to return the listed serials for inspection
Verified carrier handover8Eight sensors with listed serials actually left the buyer's site
Supplier's itemized receipt7Supplier initially acknowledges seven of those eight serials
Still held at the buyer2Authorized units that have not been dispatched

The warehouse retains the packing identities and handover evidence. One dispatched unit is unreconciled: 8 − 7 = 1. Its location is unknown at this point. The record does not prove it is lost, still in transit or the carrier's responsibility. The two units never dispatched have a separate action; they are not part of that one-unit receipt discrepancy.

The buyer now has 92 sensors physically onsite: 90 released + 2 held. Authorization, dispatch and supplier receipt are overlapping records of the same goods, so do not add their quantities together. Follow your ERP's approved procedure when recording the movement; these numbers do not prescribe ownership or accounting treatment.

Use the corrected receipt for its stated purpose

The supplier checks its receiving area, identifies the eighth serial and sends a dated corrected receipt for the eight-unit consignment. Keep that evidence alongside its original seven-unit acknowledgment, with the reason for the change. Attribute the physical check to the supplier; the buyer has not independently checked the sensors at the supplier's facility.

The consignment's receipt discrepancy is now resolved: eight dispatched and eight acknowledged. The shipment subtask, defined as obtaining receipt evidence for those eight serials, can close. The approved ten-unit return still has two units onsite awaiting dispatch. Before their collection, confirm that the current instructions still cover them.

All ten affected units still lack release back to use: two are at the buyer and eight are acknowledged at the supplier. A corrected receipt or a completed shipment subtask does not make those units available for production. For the original receipt investigation and release decision, see receiving inspection.

Treat the repair offer as a new approval decision

The supplier now proposes repairing the eight received sensors. R42 permitted inspection only. Under this example's terms, the buyer has not yet authorized repair, accepted charges or agreed that repair will meet its requirements.

The quality owner checks the proposed work, required tests and acceptance conditions. The person with commercial authority checks the quotation, charges, responsibilities and proposed return date. Record which eight serials the approval would cover and who may accept the proposal. The remaining two need their own return and disposition actions.

This separation appears in real procedures: CD Automation tests returned products, sends a repair quotation and asks the customer to accept or reject it before proceeding. Other suppliers may already have an agreed repair allowance. Check the applicable authority rather than demanding a new approval where an existing agreement already provides it.

In the example, the repair proposal remains pending. There is no completed repair, agreed credit or received replacement. The 90 released sensors remain the only released quantity at the buyer's site. A proposed repair date alone establishes neither a confirmed date for usable supply nor current released stock. Record a conditional expected receipt after checking the plan and its dependencies; actual receipt and quality release remain to be verified.

Keep the open work visible after the shipment closes

The buyer's case covers all ten sensors and their disposition. Its next actions are to arrange the remaining two-unit collection and decide whether to authorize the eight-unit repair. Give each an owner, a review date and the evidence needed to finish it. Keep the return reference, serial lists, actual shipment, supplier receipts and repair proposal linked.

If a credit or replacement is agreed later, follow it as a specific obligation with its own evidence. A return does not silently settle an invoice discrepancy, and a replacement promise does not establish that new stock has arrived.

In Cartograph, your team can open a receiving-discrepancy task for damaged or wrong-part issues. Scout can follow up with the supplier for return instructions within configured permissions. Inbox & Tasks keeps the owner, plan, linked records and communication history together. Your team handles credits, claims and charges, authorizes the remedy and verifies physical events.

Questions teams ask

Is an RMA number a shipping label?

It identifies the authorized return or case. The carrier label has a transport function. Follow the supplier's instructions for both references and the documents that must accompany the actual goods.

Does an RMA guarantee a refund or replacement?

Read what was agreed. The number alone does not establish a completed refund, credit or replacement. Some arrangements permit advance replacement or credit without physical return; others require inspection before deciding the remedy.

Can a return be shipped in parts?

Use the supplier's agreed instructions. In this example the eight-plus-two split is explicitly accepted. Track each actual shipment and the remaining units without treating the authorized quantity as already dispatched.

Does permission to inspect authorize repair?

Check the scope and any existing agreement. This example permits inspection only, so the repair proposal needs the buyer's authorized decision. The RMA reference cannot supply authority that its terms do not grant.
